Executive Administrative Assistant 1
Your Contribution:
As a Executive Administrative Assistant, you will be supporting the Vice President of Finance, Accounting & Legal Affairs North America serving as a trusted business partner responsible for maximizing executive effectiveness, improving organizational efficiency, coordinating leadership activities, and leveraging Microsoft 365 and AI-enabled workplace tools to drive productivity, handling highly confidential information and performing with exceptional judgment, professionalism, initiative, and organizational skills.
• Provide executive-level professional support to the Vice President and Finance Leadership Team.
• Manage complex calendars, schedules, priorities, meetings, and executive communications.
• Prepare executive presentations, reports, correspondence, dashboards, and meeting materials utilizing Microsoft 365 applications.
• Coordinate leadership meetings, document action items, and track follow-up activities.
• Serve as gatekeeper for executive priorities and protect focus time through effective prioritization.
• Plan and coordinate domestic and international travel arrangements and related logistics.
• Prepare and process expense reports through applicable corporate systems.
• Act as liaison with employees, executives, external partners, and corporate leadership.
• Leverage Microsoft Outlook, Teams, Word, Excel, PowerPoint, OneNote, SharePoint, Copilot, and other digital workplace tools.
• Identify opportunities to improve efficiency through automation, AI, process improvement, and standardization.
• Coordinate special projects, leadership events, off-site meetings, and cross-functional initiatives.
Your Experience & Qualifications:
• High school diploma required; associate or bachelor’s degree preferred.
• Minimum 7 years of executive administrative experience supporting senior leaders.
• Advanced proficiency in Microsoft 365 including Outlook, Teams, PowerPoint, Word, Excel, SharePoint, OneNote, and Copilot.
• Excellent organizational, project coordination, and time management skills.
• Demonstrated ability to manage highly confidential information.
• Excellent written and verbal communication skills.
• Strong attention to detail, problem-solving ability, and follow-through.
• Experience with SAP Concur and global organizations is a plus
